Notary session fee ledger
A running log of your sessions and what you charged in each: the ledger adds up your notarial fees, keeps other charges and mileage apart, and flags any session where a fee is above what your state allows for the act. Caps read from each state's statute or rule. It works beside the notary invoice template: the invoice bills one session, the ledger keeps the year. Both are part of running a remote notary business.

What it works out
A session is one sitting with one client: a refinance package, a power of attorney, a stack of affidavits. You log how many acts it held and what you charged for each, plus copies, any other charge and the miles you drove if it was in person. The ledger adds up three separate figures, because they are treated differently at tax time:
- Notarial fees: acts times the fee per act, plus copies. These are the fees the IRS Schedule SE instructions exempt from self-employment tax as fees for services performed as a notary public.
- Other charges: anything that is not a notarial fee. The ledger keeps them apart and checks no cap against them.
- Mileage at the IRS business standard rate for the session's date: 72.5¢ a mile from and 76¢ a mile from (IRS standard mileage rates). A remote session has no miles.
Each session is checked against the most your state lets you charge for one act, all in. Where the remote fee sits on top of the regular fee, as in Texas and Pennsylvania, you pick which regular fee it sits on (an acknowledgment with one signer, an oath, a verification) and the cap is the two added together. For an in-person session the ledger checks only the regular fee, and only in those two states, the ones whose schedules we have read. Copies are checked against Texas's per-page fee and Pennsylvania's certified-copy fee. To bill one of these sessions, move its lines to the notary invoice template.
Worked example
The ledger opens on a Pennsylvania notary's month. Pennsylvania's schedule allows $5 for an acknowledgment with one signer, and a remote technology fee of up to $20 an act on top, so one remote acknowledgment may be billed at most $25 all in; in person it is $5, and a certified copy $5. Worked by hand, the four sessions come to $255.00 in notarial fees and $13.68 of mileage at the second-half 2026 rate. One session was billed above the cap, and the ledger flags it.

Every state's rule, with its conditions, is in remote notarization fees by state; Pennsylvania's list and rules are on its state page, and the software that keeps a ledger for you is in the notary business software comparison. Where the ledger fits in a one-person practice, after the bond and before the tax return, is in how to start a remote notary business.
Two things sit next to the money. Your bond and errors and omissions cover are the other half of running the business, set out in notary bond vs E&O insurance; and in several states the fee you charged is itself a journal field, which the notary journal template prints as a column.
